Staff Ministry Assistant (Administrative & Ministry Support)

Position Overview

First Baptist Church Mt. Washington is seeking a dedicated and service-oriented Staff Ministry Assistant to support the daily operations and ministry efforts of the church. This individual will serve as a primary point of contact for members, guests, and ministry leaders while providing essential administrative and organizational support across multiple ministry areas.

This role is vital in creating a welcoming environment, ensuring smooth communication, and helping ministries operate effectively in alignment with the mission of FBC Mt. Washington.

Key Responsibilities

Guest Services & Communication

  • Serve as the first point of contact by greeting visitors and answering/directing phone calls with a positive and helpful spirit

  • Manage incoming emails, voicemails, and general inquiries in a timely and professional manner

  • Maintain a welcoming, organized reception area

  • Communicate effectively with staff, congregation members, and facility guests

Administrative & Office Support

  • Provide administrative support to pastors, ministry staff, and church leadership

  • Prepare correspondence, reports, meeting notes, and weekly agendas

  • Manage calendars, scheduling, and church-wide coordination

  • Maintain office supplies and coordinate maintenance of office equipment

  • Lead and manage the church’s digital presence, including the website and social media platforms

  • Create, schedule, and publish engaging content (announcements, events, ministry highlights, and updates)

  • Ensure all digital communications are accurate, timely, and aligned with the church’s mission and voice

  • Coordinate with ministry leaders to gather content and promote church activities and events

  • Monitor engagement and maintain a consistent posting cadence across platforms

Records & Information Management

  • Maintain accurate membership and ministry records

  • Process guest information, attendance records, and ministry data

  • Manage databases and generate reports as needed

Facilities & Event Coordination

  • Coordinate building usage, room reservations, and event logistics

  • Assist with scheduling and support for weddings, funerals, and special events

  • Work with ministry leaders to ensure facility needs are met

Ministry & Program Support

  • Assist in the preparation and distribution of church communications (bulletins, newsletters, updates)

  • Support ministry areas including education, outreach, activities, and senior adult ministries

  • Coordinate volunteers and maintain current schedules and contact lists

  • Assist with special programs and seasonal events

Operational & Financial Support

  • Assist with registrations, payments, and administrative tracking as needed

  • Process mail, deliveries, and internal communications

  • Support general church operations and administrative processes

Additional Responsibilities

  • Assist with communication tools such as prayer lists, phone trees, and announcements

  • Maintain confidentiality with sensitive information

  • Perform other duties as assigned to support the mission of the church

Qualifications & Skills

  • High school diploma or GED required; 3+ years of administrative or related experience preferred

  • Proficiency in Microsoft Office, Google Workspace, and general office technology

  • Strong organizational skills and attention to detail

  • Excellent verbal and written communication skills

  • Ability to multitask, prioritize, and follow through on responsibilities

  • Self-motivated, dependable, and able to work both independently and as part of a team

  • Friendly, professional demeanor with a heart for ministry and service

Interim Children’s Ministry Director  

Reports To: Senior Pastor 

Principal Function 

The Interim Children’s Ministry Director provides spiritual leadership and organizational oversight for the church’s preschool and children’s ministries (cradle through 5th grade) during a transitional season. This role focuses on maintaining consistent programming, supporting families, equipping volunteers, and ensuring a safe and gospel-centered ministry environment. 

Qualifications 

• A committed follower of Jesus Christ who models personal godliness and biblical character 

• Affirms and adheres to the Baptist Faith and Message 2000 

• Demonstrates calling and giftedness in children and family ministry 

• Ministry experience with children required; formal theological or education training preferred 

• Organized, relational, self-motivated, and able to manage multiple responsibilities 

• Comfortable using technology for communication, organization, and curriculum planning 

Core Responsibilities 

• Provide leadership for preschool and children’s ministry (cradle–5th grade) 

• Ensure biblically sound teaching and discipleship opportunities for children and families 

• Serve as a ministry presence and support to families within the church 

• Encourage and equip parents in their role as primary spiritual leaders in the home 

• Share the gospel with children and families as opportunities arise 

• Coordinate and supervise weekly children’s ministry programming (Sunday School, Wednesday evenings and ongoing outreach opportunities as they arise)  

• Plan and oversee key children’s ministry events during the interim period as agreed upon (Vacation Bible School)  

• Recruit, train, and support preschool and children’s ministry volunteers 

• Oversee curriculum, equipment, supplies, and classroom space 

• Ensure policies and procedures are followed to maintain a safe environment for children 

Interim Scope Clarification 

This position focuses on maintaining and strengthening existing preschool and children’s ministries during a transition period. It does not include major long-term restructuring of ministry strategy or expansion of staffing structures beyond interim needs.
